Key areas of accountability:

 

Receive visitors professionally, ensuring all registration, safety and security processes are completed prior to handover to their host.

Permit visitors entry to the car park once positive identification has been established.

Update Licence Plate Recognition system as instructed, to ensure new starters and leavers are captured.

Operate the switchboard, answering general enquiries and redirecting calls to ensure the caller’s enquiry is resolved quickly and efficiently.

Receive post, give to receptionist and then date stamp and scan mail, redirecting to the correct department for processing.

Ensure outgoing mail is prepared and despatched as requested, attaching the correct postage and tracking as appropriate.

Monitor room bookings, ensuring that tea and coffee making facilities, snacks, pens, paper etc are available as required by the meeting host.

Conduct regular stock checks on refreshments for meeting rooms to maintain availability, placing replenishment orders as needed.

Ensure all offices have adequate stocks of water for the coolers and that coolers are serviced in line with the agreed schedule.

Help with events, travel and hotel bookings as and when needed.

Raising requisitions for office supplies that are needed.

Monitor emails, responding within agreed turn-around times to enquiries directly, or redirecting appropriately for responses.

Respond to in-person enquiries professionally, managing expectations on response times.

Oversight of office inventory, including ensuring an adequate supply of consumables, such as stationery or printer ink.

Carry out administrative duties such as typing, copying, scanning etc.

Handle sensitive date in a confidential manner.

Any other duties that are required.

 

As part of your contract of employment completion of the Apprenticeship Training Programme forms part of your duties as well as helping your personal and professional development; the requirements to complete the programme are as follows:

 

  • Attend and be punctual for all inductions, lessons and work-based training/support sessions.
  • Complete all required assignments
  • Build up your portfolio of evidence on-going
  • Access support from your tutor, assessor and manager, when required.

What training will the apprentice take and what qualification will the apprentice get at the end?

 

Business Administrator Level 3 Apprenticeship Standard:

 

The responsibilities of the role are to support and engage with different parts of the organisation and interact with internal or external customers. With a focus on adding value, the role of business administrator contributes to the efficiency of an organisation, through support of functional areas, working across teams and resolving issues as requested. The flexibility and responsiveness required allows the apprentice to develop a wide range of skills.

 

The business administrator is expected to deliver their responsibilities efficiently and with integrity – showing a positive attitude. The role involves demonstrating strong communication skills (both written and verbal) and adopting a proactive approach to developing skills.

 

The business administrator is also expected to show initiative, managing priorities and your own time, problem-solving skills, decision-making and the potential for people management responsibilities through mentoring or coaching others.

 

You will cover the necessary Knowledge, Skills and Behaviours, gather evidence and attend workshop / taught classes throughout the duration then complete an End Point Assessment.

 

The End Point Assessment involves:

You will be given paid time off for study to achieve your apprenticeship.
